Director of Event Operations

Location: Santa Monica, Calif.


The Milken Institute is looking for support executing our global planning and production of annual calendar of events. The role will interact with the Institute’s event sales, programming and technology teams; as well as our communications and development stakeholders. He/she must will manage logistic planning of meetings and special events for the organization. Manage event budgets to ensure revenue and expenses are kept within established boundaries. Ownership of internal and external communications to ensure requirements are known and deadlines are met. Ability to manage creative people in a hectic environment with an eye on excellence.


  • Assist the Executive Director of Events in planning and implementing event details
  • Manage audio-visual partners, third party management partners and sourcing agent.
  • Maintain event specifications and staffing plans
  • Manage event processes for venues including site research, RFP cost analysis, hotel and function event orders and room setup, rooming list and hotel reservation systems
  • Contribute to brainstorming sessions and have input into standard operations process
  • Work with Event Technology team on registration process and attendance
  • Coordinate invitation and registration follow-up & on-site credentialing
  • Order and maintain all event and conference supplies
  • Work with outside vendors to support the conference operations team
  • Prepare, edit and share meeting agendas and minutes
  • Support a majority of projects and events onsite at the Institute
  • Manage events calendar


  • Bachelor’s degree and 7+ years of experience working as Event Manager
  • Must have relevant corporate and nonprofit event experience
  • Experience with small and large events
  • Working knowledge of catering, BEOs, audio-visual and event technologies
  • Ability to work independently and as part of a team
  • Carry out responsibilities within deadlines
  • Familiarity with high-end event organization & production
  • Not afraid to get their hands dirty and strong attention to detail
  • Excellent verbal and written communication skills
  • Work under pressure on challenging deadlines, yet remain professional and composed
  • Professional presentation, appearance and work ethic
  • Must be logical thinker with demonstration of good judgement, high detail-oriented
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Understanding of financial accounting and previous use of large budgets
  • Knowledge of  Cvent, Salesforce, social media and event marketing skills
  • Superior customer service skills
